How to Connect Outlook to ChatGPT—and Prepare for Your Next Meeting
Connect the right Microsoft account, confirm one message and one meeting, then turn them into a brief you can check and a follow-up drafted in ChatGPT.
A calendar invitation tells you when to join. The useful background may be somewhere else: a client’s revised request, an unresolved question in a long email thread, or a deadline someone proposed but never confirmed.
Connected ChatGPT can help assemble that context. Give it one meeting, the relevant mailbox, and a narrow email search. Ask for the evidence behind the brief, then decide what you want to say.
This walkthrough uses Outlook Email and Outlook Calendar in ChatGPT. Product claims were checked against official documentation on October 27, 2026. AI assisted the research and writing. The prompts and fictional example are Connector Scout editorial recommendations, not results from hands-on mailbox testing.
Quick answer
Open Settings → Plugins (Apps in some versions) and connect Outlook Email and Outlook Calendar separately, signing in with the Microsoft account that holds your messages and meetings. Check one known message and one meeting before asking for a brief. Availability and actions depend on your plan, workspace and permissions; the four prompts below ask ChatGPT to read and draft in chat, but a prompt is not a permission control. [1] [2] [5] [8]
- Setup path
- Settings → Plugins → Outlook Email and Outlook Calendar; Apps where shown
- First checks
- One known message and one confirmed meeting with its time zone
- Follow-up destination
- A draft in ChatGPT; you send it from Outlook
The walkthrough ends with your review and any sending in Outlook. Installation and prompts are not substitutes for checking the account, permissions, meeting and message evidence.
First, choose the experience you want
This guide connects Outlook information to a conversation in ChatGPT. OpenAI lists Outlook Email and Outlook Calendar as separate plugins. [1] [2]
If you want Microsoft’s assistant inside Outlook, use Microsoft’s Copilot in Outlook guidance instead. That is a different product with its own setup. This walkthrough does not install a ChatGPT add-in in Outlook or establish Copilot eligibility. [3]
Check the mailbox provider too. Outlook can show a Gmail inbox, and a Gmail address can be used to sign in to a Microsoft account. That does not establish that ChatGPT’s Outlook connection can reach those Gmail messages. If Gmail holds the email you want, use our Gmail connection guide. [12] [13]

You do not need Teams or SharePoint for the first workflow. Add another source when the meeting actually depends on it.
Connect the right account and both apps
Check that you are in the ChatGPT account and workspace your organization approves. Connecting a work Microsoft account does not switch your ChatGPT workspace. [4] [9]
Availability depends on the app, plan, region, workspace, role, model, and interface. Use the options offered in your account rather than assuming a particular subscription unlocks every action. [5]
- Open ChatGPT Settings → Plugins. If your version shows Apps, use that entry.
- Find Outlook Email, install its plugin if required, and choose Connect or the setup option shown.
- Sign in with the Microsoft account holding the messages you need. Review the requested access and complete authorization.
- Find Outlook Calendar and review its connection too. Do not assume an Email connection proves Calendar is ready.
- In a supported chat, select the available apps through @ or the + menu when needed.
These steps follow OpenAI’s current setup and conversation controls; use the labels shown in your version. Check the account shown for each app. Personal and work Microsoft accounts can look similar at sign-in; the correct address matters more than a successful login. [4] [5]
If your workplace asks for administrator approval
Several decisions are involved, and they may belong to different people:
| Check | What it controls |
|---|---|
| ChatGPT app access | Whether the workspace and your role can use the Outlook app |
| Microsoft consent | Which Microsoft permissions the organization grants to the application |
| Your connected account | Which account is signed in and what it can already access |
| Available actions and approval settings | Which operations can run, and when ChatGPT asks first |
Separate approvals behind a working Outlook connection
ChatGPT app access
- What it controls
- Whether the workspace and your role can use the Outlook app
Microsoft consent
- What it controls
- Which Microsoft permissions the organization grants to the application
Your connected account
- What it controls
- Which account is signed in and what it can already access
Available actions and approval settings
- What it controls
- Which operations can run, and when ChatGPT asks first
OpenAI documents separate app, action, provider-consent, and user-connection controls. Microsoft approval alone does not enable an action or finish a member’s connection. A permission shown as Upcoming is not proof that its action is available. [6] [9]
Microsoft says some applications require an administrator to grant consent, depending on the permissions requested and organizational policy. You may see a request-approval flow when your organization has enabled one. [7]
When asking IT for help, identify Outlook Email, Outlook Calendar, your ChatGPT workspace, the intended Microsoft account, and the exact error. Explain that your first use is reading meeting details and relevant email for a brief. Do not include message contents, passwords, or tokens in the request.
For the first attempt, our recommendation is Always ask, or Allow read actions where available. The latter allows reads without another prompt but asks before changes. Available settings and workspace policy vary; a prompt saying “read only” does not itself restrict the connection’s permissions. [8]
Test one message before asking for a brief
Use a familiar, non-sensitive message.
Use Outlook Email connected to [Microsoft account email]. Find the message from [sender address] with [distinctive subject words], sent between [start date] and [end date]. Return its subject, sender, date, and a link or exact message reference if available. Identify the short passage that confirms it is the right message. If retrieval fails, tell me what you could not access. Do not answer from memory. Do not send, move, delete, label, mark read or unread, create drafts, change contacts, or modify anything.
Open the original in Outlook. Check the sender and the latest messages in the thread, not just a familiar subject line.
If you are using a shared or delegated mailbox, name its exact address. The connected account must already have access; connecting ChatGPT does not grant delegation rights. Attachments from shared or delegated mailboxes are currently unavailable through the Outlook app, even though attachment actions can work for the signed-in user’s own mailbox. [9]
Confirm the meeting and its time zone
A recurring meeting title can match several events. Give ChatGPT enough detail to identify one occurrence.
Use Outlook Calendar connected to [Microsoft account email]. In [calendar name or owner], find [meeting title] with [organizer or attendee address] on [date], using [time zone]. Return the matching event's title, organizer, start and end time with time zone, and attendees. Include a link or exact event reference when available. If multiple events fit, list the candidates and ask which one I mean. Read only: do not create, update, RSVP to, cancel, delete, or otherwise change an event or contact.
Compare the result with the actual invitation. If the time is unexpected, resolve that before combining calendar and email evidence; OpenAI notes that time-zone answers depend on a mailbox-settings permission. Specify the target calendar, especially for shared calendars. Supported actions differ across personal, shared, and delegated calendars; shared-calendar write support is not a promise about every calendar. [9]
OpenAI’s Calendar listing includes meeting preparation and using related email threads for context. The workflow below is our suggested way to keep that context focused. [2]
Turn those sources into a brief you can check
The goal is to arrive knowing what changed and what needs a decision. A general summary of the client is usually too broad.
Prepare a brief for [confirmed meeting title and occurrence] with [client/project]. Use Outlook Calendar [calendar name or owner] and Outlook Email [exact mailbox address], connected through [Microsoft account email]. Use the confirmed calendar event for logistics. Search email about this project from [start date] through [end date], in [time zone]. Inspect the latest available messages in relevant threads. If earlier material is needed, explain what is missing before broadening the search. Keep the brief under 500 words: 1. Meeting logistics: organizer, attendees, time, and time zone. 2. Changes since our last discussion, supported by dated messages. 3. Decisions or questions still apparently open. 4. Explicit commitments: owner, agreed date if one exists, and source. 5. Three suggested questions for the meeting, labeled as your recommendations. Link each factual point to its event or email when possible; otherwise give an exact reference I can find in Outlook. Separate facts from interpretation. Distinguish a proposed deadline from an accepted one. Check for later replies and superseded decisions. A calendar invitation is not proof of attendance or approval. Missing retrieved evidence is not proof that no conversation occurred elsewhere. State what you searched and any gaps. Do not claim to have read an unavailable attachment. Read and summarize only. Do not send messages, create mailbox drafts, change calendar events, respond to invitations, change contacts, or modify anything.
A fictional example
This is an illustration, not a real client result.
| What the brief says | Evidence to open | Useful question |
|---|---|---|
| The client asked to add another review round | The dated email containing the request | Does this change the agreed scope? |
| Friday was suggested, but a later message proposes Monday | Both messages in the latest thread | Which date are we agreeing to today? |
| Final approval has no named owner in the retrieved material | The relevant messages and their search limits | Who will make that decision? |
Fictional meeting brief: each point paired with its evidence
The client asked to add another review round
- Evidence to open
- The dated email containing the request
- Useful question
- Does this change the agreed scope?
Friday was suggested, but a later message proposes Monday
- Evidence to open
- Both messages in the latest thread
- Useful question
- Which date are we agreeing to today?
Final approval has no named owner in the retrieved material
- Evidence to open
- The relevant messages and their search limits
- Useful question
- Who will make that decision?
The third row is a gap to resolve, not an accusation that nobody owns the work. The brief should help you ask better questions.
Check the most consequential statements before the call: who promised what, which date was agreed, and whether a later email changed the answer. Open the source whenever the brief’s wording turns “could” into “will.”
After the meeting, draft the follow-up
Your notes are new evidence. Give ChatGPT the decisions you actually made rather than asking it to infer the result from the invitation.
Compare these meeting notes with the preparation brief. Draft a follow-up here in this ChatGPT conversation with: decisions made, next steps, named owners, and agreed dates. Use only commitments supported by my notes. Mark unclear items [needs confirmation]. Identify conflicts with the earlier brief instead of silently resolving them. Put the intended recipients and subject above the draft. Do not send it, create a draft in Outlook, edit contacts, or change calendar events. Meeting notes: [Paste the notes I am permitted to share.]
Review the recipient list, scope, and dates. Then decide what to send from Outlook.
Some Outlook writes are documented for supported resources, such as sending from a shared mailbox or managing events on a supported shared calendar, but the available operation, account permissions, and workspace controls matter. This guide requests preparation and drafting in ChatGPT; it does not promise universal sending or calendar-editing support. [8] [9]
If you later run a send or edit and its result is unclear, inspect Outlook before retrying. An interrupted response does not establish that nothing changed. [9] [10]
When the connection works but context is missing
| Symptom | Next check |
|---|---|
| Wrong account or mailbox | Check the connection and name the intended target explicitly |
| Email works but Calendar does not | Inspect the Calendar connection and its permissions separately |
| Connected, but unavailable in this chat | Check the selected model and supported interface; try a supported new chat |
| Sparse or confusing results | Use one meeting, distinctive sender or organizer details, and a smaller date range |
Troubleshooting Outlook connections and results
Wrong account or mailbox
- Next check
- Check the connection and name the intended target explicitly
Email works but Calendar does not
- Next check
- Inspect the Calendar connection and its permissions separately
Connected, but unavailable in this chat
- Next check
- Check the selected model and supported interface; try a supported new chat
Sparse or confusing results
- Next check
- Use one meeting, distinctive sender or organizer details, and a smaller date range
These checks follow OpenAI’s troubleshooting and Outlook guidance. [9] [10]
In Enterprise workspaces where enabled, Outlook sensitivity-label exclusions can intentionally block selected emails and their attachments. A message you can open in Outlook may still be excluded in ChatGPT. Ask the administrator to check policy; do not work around it by pasting restricted content into the chat. [11]
Broad Outlook searches can be incomplete. For larger requests, split the period and inspect the results instead of treating one response as a complete mailbox audit. [9]
Use the right workspace for work information
OpenAI says information accessed from apps is not used to train models by default for ChatGPT Business, Enterprise, and Edu. On Free, Go, Plus, and Pro plans, it may be used when Improve the model for everyone is on. Connecting work Outlook does not change those ChatGPT account settings. [4] [5]
Memory and retention are separate controls. Disconnecting an app stops future access through that account, but does not automatically delete existing chats, files, or saved memories; other connected accounts can remain active. [4] [5]
Start with one meeting you already understand. Keep the workflow when its sources make preparation easier to verify. If checking the brief takes longer than preparing manually, narrow the scope or use the original thread.
