How to Connect SharePoint and OneDrive to ChatGPT—and Find the Current Version

Connect the right work account, prove ChatGPT can read one known file, then ask for an update that names the version it used and what it could not open.

Most SharePoint libraries contain more than one version of the truth: a plan, a “final” plan, and the copy someone edited after the meeting. Asking an assistant to summarize “the project plan” can produce a confident answer from the wrong file.

Connected ChatGPT can search the files your Microsoft account can already open. The useful habit is to make it show which file it used, when it was last changed, and what it could not read.

This walkthrough uses the SharePoint app in ChatGPT. Product claims were checked against official OpenAI documentation on October 28, 2026. AI assisted the research and writing. The prompts and fictional example are Connector Scout editorial recommendations, not results from hands-on testing.

Quick answer

Open Plugins (Apps in some versions), find SharePoint and sign in with the Microsoft work or school account that can already open the files. The same app covers supported OneDrive for work or school content; personal OneDrive accounts are not supported. Your organization may need a Microsoft administrator to approve permissions first. Check one known file before asking for summaries. The four prompts below ask ChatGPT to read and draft in chat; a prompt is not a permission control. [1] [4] [6]

Setup path
Plugins or Apps → SharePoint → sign in with a work or school account
Not covered
Personal OneDrive accounts
File limit
.txt, .pdf, .docx, .pptx, .xlsx, .csv up to 100 MiB each

The walkthrough ends with your review and any sharing you choose to do yourself. Installation and prompts are not substitutes for checking the account, permissions and the files themselves.

What the SharePoint app covers

OpenAI describes one SharePoint app that searches and references SharePoint sites and supported OneDrive for work or school content your Microsoft account can already access. Personal OneDrive accounts are not supported by this app. [1]

Which setup fits where your files live

A team or project SharePoint site

What to do
Connect SharePoint with your work or school account

OneDrive for work or school

What to do
Use the same SharePoint app and account

Personal OneDrive (Microsoft account at home)

What to do
Not supported by this app; do not expect it to appear

Google Drive

What to do
Follow the Google Drive connection guide instead

If your documents are in Google Drive, use our Google Drive connection guide.

Older articles describe syncing SharePoint into ChatGPT. OpenAI’s current admin documentation says administrator-managed and individually authorized app sync are no longer available; the app uses live access subject to your account and workspace controls. [5]

Connect the right work account

Availability depends on your ChatGPT plan, location, workspace settings, Microsoft account and your organization’s Microsoft Entra policies. Use what your account actually offers rather than assuming a subscription unlocks it. [1] [4]

  1. Open Plugins or Apps, depending on what your version of ChatGPT shows.
  2. Find SharePoint and choose the option to connect your account.
  3. Sign in with the Microsoft work or school account that can open the sites or OneDrive files you need.
  4. Review the requested Microsoft permissions and complete authorization.
  5. Return to ChatGPT and start a new conversation with SharePoint available.

These steps follow OpenAI’s current SharePoint setup article. If your organization requires administrator consent, a Microsoft Entra administrator must approve the permissions before the connection can be used. [1]

If IT has to approve it first

Two different administrators may be involved. A ChatGPT workspace owner or admin decides whether the app and its actions are available. A Microsoft Entra administrator grants the Microsoft permissions those actions need. Approving Microsoft permissions does not connect your account or switch on actions in ChatGPT. [1] [5]

The separate checks behind a working SharePoint connection

Workspace app access and role

What it controls
Whether you can see and use the SharePoint app

Microsoft Entra consent

What it controls
Which Microsoft permissions the organization grants

Enabled actions

What it controls
Which reads or changes ChatGPT may attempt

Site restrictions and label exclusions

What it controls
Which site collections and labelled files are filtered out

Your own SharePoint permissions

What it controls
Which files your account could open anyway

For live search, OpenAI says Sites.Read.All and Files.Read.All must be enabled in both ChatGPT’s permission settings and Microsoft Entra; Sites.Selected is not supported for live search. Write permissions such as Files.ReadWrite.All should be granted only when your organization intends to allow those actions. [1]

Administrators can also allow or block whole site collections and exclude files with selected sensitivity labels. These rules filter on OpenAI’s side; they never grant access you lack in Microsoft 365. OneDrive access is managed separately from site-collection rules. [2]

When asking IT for help, name the SharePoint app, your ChatGPT workspace, the work account you used, the site you need and the exact error. Explain that the first use is reading files. Do not paste document contents, passwords or tokens into the request.

For a first attempt, we recommend Always ask, or Allow read actions where available: the latter reads without another prompt but asks before changes. These settings only change when ChatGPT asks; they do not give the app new access. [4] [6]

Test one file you already know

Pick a non-sensitive document you can open in SharePoint today, in a supported format.

Prompt 1: Check one SharePoint file
Use SharePoint connected to [work account email]. Find the file named [file name] in [site or library name]. Return its title, location, last-modified date and a link. Quote one short passage that proves you read its contents, not just its title. If you can find the file but cannot read it, say so. Do not answer from memory. Do not create, upload, update, move, share or delete anything.

Open the file yourself and compare the passage. If search fails, paste a direct link to that specific file (not its folder) in a new conversation and ask ChatGPT to read it through SharePoint. A search result can identify a file even when its contents cannot be retrieved. [1]

Search supports .txt, .pdf, .docx, .pptx, .xlsx and .csv files up to 100 MiB (about 105 MB) each; larger files are excluded. ChatGPT may still be unable to extract text from some supported files. [1]

Find the current version before summarizing

This step is our recommendation, not a SharePoint feature. It catches the most common mistake before it reaches a summary.

Prompt 2: Find the current version
Use SharePoint connected to [work account email]. Search [site or library] for documents about [project] that look like [plan / proposal / budget]. List every candidate with title, location, last-modified date, and a link. Point out near-duplicates such as “final”, “v2” or copies in personal OneDrive. Do not pick one for me; tell me what evidence suggests which is current, and what you could not open. Read only: do not change, move or share any file.

Choose the file yourself. A later modified date is a clue, not proof that the content was approved.

Build a sourced project update

Prompt 3: Prepare a sourced project update
Using only these SharePoint files: [links to the files I chose], write a project update under 400 words for [audience]. 1. What changed since [date], with the file and section each point comes from. 2. Decisions that appear final, and decisions that still look open. 3. Owners and dates stated in the files. Distinguish a proposed date from an agreed one. 4. Conflicts between the files, listed rather than silently resolved. Link each factual point to its file. Separate facts from your interpretation. State any file you could not read. Draft here in ChatGPT only. Do not create, upload, update or share anything in SharePoint or OneDrive.

A fictional example

This is an illustration, not a real result.

Fictional project update: each point paired with its evidence

Launch moved from 3 March to 17 March

Evidence to open
Section 2 of the revised plan; the older plan still says 3 March
Question to resolve
Has the sponsor accepted the new date?

Budget line for agency support is unconfirmed

Evidence to open
The budget workbook’s notes column
Question to resolve
Who approves the agency spend?

One referenced file could not be read

Evidence to open
The file link listed under gaps
Question to resolve
Is it over the size limit or excluded by policy?

Check the statements with consequences—dates, money and owners—against the original files before you share the update.

Draft the message, then share it yourself

Prompt 4: Draft a short update message in ChatGPT
Turn the project update above into a short message for [audience] in [Teams / email]. Keep the file links. Mark anything unconfirmed as [needs confirmation]. Draft it here in ChatGPT only. Do not send it, post it, or create, edit or share any file.

Depending on approved Microsoft permissions and the actions your workspace enables, the SharePoint app may also create folders, upload or update files, manage sharing links, and work with supported lists and pages. ChatGPT may ask you to confirm changes. This guide deliberately keeps the first workflow to reading and drafting. [1]

When SharePoint is connected but something is missing

Troubleshooting SharePoint in ChatGPT

SharePoint does not appear

Next check
Ask whether the workspace enabled it, and whether role access or an approved-domain policy limits it

Admin approval is required

Next check
Ask a Microsoft Entra administrator to review the permission request

A file is missing

Next check
Format and size, the connected account, whether you can open it directly, and site or label rules

The file appears but cannot be read

Next check
Paste a direct file link in a new conversation; report whether details, text or a copy came back

An action fails after approval

Next check
Is the action enabled, does the Entra grant still exist, and did you reconnect after new permissions?

These checks follow OpenAI’s SharePoint troubleshooting guidance. After a policy change, test a fresh request in a new conversation. An action that works in chat may need different authorization in a scheduled task or workspace agent. [1]

Use the right workspace for work files

OpenAI says information accessed from apps is not used to train models by default for ChatGPT Business, Enterprise and Edu. On Free, Go, Plus and Pro, it may be used when Improve the model for everyone is on. Members cannot retrieve files they could not open in SharePoint. [1] [4]

Disconnecting the app stops future access, but does not automatically delete existing conversations, saved files or memories. Review those separately. [3]
